JOB TITLE: Studio & Gallery Assistant
Location: Remote (U.S.) — preference for candidates within driving distance of Burlington, VT for occasional on-site support
Type: Part-time (2–3 days/week, 9am–4pm EST)
ABOUT THE ROLE
We’re seeking a highly organized, detail-oriented, and reliable Studio & Gallery Assistant to support the operational systems of a growing interior design studio and gallery space.
This role is the operational backbone of the studio — focused on calendar management, inbox oversight, digital organization, and maintaining structured workflows across active projects. Occasional on-site support may be needed for events or gallery activations.
You will work closely with founder Kate Swanson, providing trusted administrative support to ensure timelines, communication, and internal systems remain aligned and efficient.
This is a non-creative, operations-focused role. Ideal for someone who thrives in structure, loves detail, and brings calm clarity to a dynamic environment.
KEY RESPONSIBILITIES
Scheduling & Project Coordination
Manage and maintain Kate’s calendar, meetings, and appointments
Coordinate scheduling with collaborators, vendors, and studio clients
Track and support timelines for active design projects and exhibitions
Assist with administrative preparation for launches, shows, and meetings
Inbox & Communication Flow
Monitor and organize primary studio inbox (Gmail)
Flag tasks, follow-ups, and deadlines
Assist with responses to collaborators, clients, and general inquiries
Maintain a calm, professional tone aligned with the studio’s voice
Operational & Administrative Systems
Maintain digital file organization and shared documentation
repare and quality-check client presentation materials
Track samples, orders, procurement, and deliveries
Maintain accurate gallery inventory records
Update and refine internal systems and process documentation
Support sourcing and material research as assigned
QUALIFICATIONS
1–3 years in administrative, operations, project coordination, executive support, or studio management roles
Excellent Google Workspace skills (Drive, Docs, Sheets, Gmail)
Strong follow-through and clear written communication
High integrity and ability to manage confidential information
Must be available during Eastern Time business hours
Available for occasional evening events with advance notice
SCHEDULE
2–3 days per week (9am–4pm EST)
Flexible scheduling within those hours
Occasional evening events (paid separately)
